Research Project Manager Assistant (part time)


We are looking for a new team member from January 1, 2019 or as soon as possible thereafter to provide crucial assistance to the groups Project Manager in providing the day-to-day administration and secretarial needs primarily to the large research projects, BrainStem and NextProd. Are you the enthusiastic person that can provide efficient and exciting administrative support for two international research groups in projects spanning from bacteria to brain research?  

We are looking for a new team member from January 1, 2019 or as soon as possible thereafter to provide crucial assistance to the two groups' Project Manager in providing the day-to-day administration and secretarial needs primarily to the large research projects, BrainStem  and NextProd, supported by Innovation Foundation Denmark. The part time position is available until 31 December 2020.  

You will be based at Frederiksberg Campus, The Department of Veterinary and Animal Sciences and your position will be divided between BrainStem (Stem Cell Center of Excellence in Neurology) and at the neighbouring Center for non-coding RNA in Technology and Health, both of which house busy international research groups.  

Job Description

The job will include a vast and varied number of responsibilities covering a broad range of areas including (but not limited to) the following:

  • Supporting the administrative structure in the centres as e.g. organising meetings, booking rooms, and maintaining mailing lists  
  • Organising project meetings and conferences in collaboration with the Project Manager  
  • Contact to external and internal project collaborators in relation to organising meetings and travel arrangement etc.  
  • Proof reading in both English and Danish of e.g. abstracts, project proposals and letters  
  • Registration of project relevant information using the UCPH filing system Workzone  
  • Writing newsletters as well as updating and maintaining the projects’ internal and external websites (CMS based)  
  • Financial controlling under the supervision of the Project Manager.  
  • Ad hoc tasks 

As Project Manager Assistant, you will report directly to the Project Manager, and you will be responsible for the timely completion of your assigned tasks.  

Requirements, qualifications and evaluation criteria

We expect that you:  

  • Have a Master degree in a relevant subject or other relevant qualification in administration
  • Have years of experience with administration preferably from research projects in academia
  • Are fluent in English and Danish both spoken and written (English is the working language in both groups)
  • Are computer literate with super user skills of the Ms Office package

Candidates also meeting the following criteria will be preferred:  

  • Experience with University of Copenhagen’s administrative systems e.g. WorkZone
  • Knowledge of CMS-based website management

Terms of employment

Salary and other terms and conditions of appointment are set in accordance with the agreement between the Ministry of Finance and AC (Danish Confederation of Professional Associations).

The position is part time with 18.5 weekly working hours and time limited to 31 December 2020.
